General Terms of Participation in Organized Travel Packages

General Terms of Participation in Organized Travel Packages

(In compliance with Presidential Decree 7/2018 & EU Directive 2015/2302) Effective Date: January 2026

These General Terms of Participation (GTP) regulate the responsibilities and obligations of the Traveler (Customer) and the Travel Agency (Company) regarding organized travel packages (including transport and at least one overnight stay).

1. The Company as a Representative & Organizer

"DREAM PLAN TOURS & TRANSFERS" holds an Official Operation Mark from the Greek National Tourism Organization (E.O.T) with number MH.T.E. 0206E70000887501. We act as intermediaries between travelers and service providers (carriers, hotels, local agencies). While we do not have direct control over these third parties, we provide full support to the Traveler in case of reasonable claims against them.

2. Registration & Participation

Valid registration is confirmed via email, phone, or our website, provided that:

  1. A 50% deposit (or full payment) of the total cost is made within 48 hours of the request.

  2. The Traveler accepts these General Terms of Participation unconditionally.

  3. Full payment is completed at least 10 calendar days prior to departure. Failure to pay in full entitles the Company to cancel the booking and apply cancellation fees.

3. Prices & Cost Adjustments

Prices are calculated based on current tariffs, exchange rates, and fuel costs. The Company reserves the right to adjust prices due to unforeseen cost increases. If the increase exceeds 10% of the total value, the Traveler has the right to cancel and receive a full interest-free refund.

4. Liability & Force Majeure

The Company is responsible for coordinating services but cannot be held liable for:

  • Acts or omissions of third-party providers.

  • Force Majeure: Strikes, extreme weather, health emergencies, terrorist acts, or war.

  • Technical delays of transport means (planes, ships, trains, etc.).

  • Compensation: In cases of poor service provision, any compensation cannot exceed double the value of the specific service.

5. Traveler Obligations

  • Timeliness: Travelers must be at departure points (airports, ports, etc.) at least 2 hours prior to departure.

  • Reconnection: If a traveler misses a connection due to their own negligence, the cost of reconnecting with the group is borne solely by the traveler.

  • Transfer of Booking: A traveler may transfer their booking to another person up to 6 business days before departure (10 days for sea transport), provided the new participant accepts these terms and pays any additional costs.

6. Accommodation & Transport

  • Check-in/out: Rooms are typically available between 14:00-15:00 and must be vacated by 12:00 on the departure day.

  • Room Types: Triple rooms are usually double rooms with an extra (often folding) bed.

  • Overbooking: In case of hotel overbooking, the Company will make every effort to provide a room in a hotel of the same or higher category.

7. Passports, Visas & Health

  • Travelers are solely responsible for possessing valid travel documents (new type passports/IDs).

  • Passports should ideally be valid for at least 6 months after the return date.

  • Travelers must consult health authorities regarding necessary vaccinations or medical protocols for their destination.

8. Insurance & Luggage

  • Insurance: The Company maintains Professional Liability Insurance. However, we strongly recommend private travel insurance for accidents, medical expenses, and luggage loss/delay.

  • Luggage: One standard suitcase (up to 20kg) and one small carry-on are allowed per person. The Traveler is responsible for the contents and valuables within their luggage.

9. Cancellation Policy

Cancellations must be submitted in writing. Fees apply as follows:

  • Over 21 days before departure: €30 (domestic) / €50 (international) administration fee per person.

  • 20 to 14 days: 40% of the total cost.

  • 13 to 7 days: 60% of the total cost.

  • 6 days to departure (Non-show): 100% of the total cost.

  • Note: During peak seasons (Christmas, Easter, Summer), cancellation fees may reach 100% regardless of the timing of the request.

10. Dispute Resolution

The Company and the Traveler agree to seek an amicable settlement for any disputes. If a resolution is not reached, the Courts of Athens shall have jurisdiction, and Greek Law shall apply.
